Little Peas Speech Therapy is looking for an energetic and passionate Patient Care Coordinator to join our clinic!

Will act as receptionist and scheduler for our amazing clinic. Meets and greets patients promptly and courteously and directs them as appropriate. Schedules new and return patient appointments. Performs verification of insurance coverage, sends out new patient information, procures necessary records from referring physicians, verifies up-to-date registration of all new and return patients. Makes copies of insurance cards and authorizations. Maintains daily schedules, pull and prepare records daily, check all referrals. Flag charts with incomplete information which needs to be checked prior to visit. Triages phone calls and consults. File charts, pull charts, make charts, file loose sheets into charts, make confirmation calls of upcoming appointments.

 

Customer Service: Provide high quality customer service to both external customers and internal customers that meets or exceeds the service standards of the health care industry. This duty includes prompt and professional communication efforts, face-to-face customer contact skills, crisis management, facility with available information or requests promptly to the appropriate providers or their designees.

 

Arrange Care: Obtain prior medical records and studies if appropriate. Create a medical record if needed. Primary contact staff member for sending and faxing medical records when indicated Point of Service Operations. Greet patients and confirm that an appointment has been kept. Inspect insurance cards and/or authorization notices. Identify and collect deductible payments, co-payments, and deposits on services; provide receipts and complete necessary accounting procedures. Explain and satisfy any necessary patient signature requirements. Confirm or obtain pre-authorizations from 3rd party payers. Verify or facilitate up-to-date registration information on all new and return patients.

 

Enrollment & Authorization: Gather and/or verify patient information including demographics, insurance coverage, and financial status. Confirm patient eligibility for health care coverage and clarify any managed care arrangements. Obtain authorizations for clinical care. Enter all information accurately into medical records system. Follow up on pending referrals. Perform cash handling and billing duties in a timely and thorough manner. Duties include: educating patients on related billing issues as appropriate; collecting co-payments and past due balances when indicated; providing patients with appropriate receipts; performing end of day duties. Ensures work area and waiting rooms are neat, organized and well maintained for patients and visitors.

 

Required Qualifications: Six months of work experience in a medical office setting, including high volume direct patient contact, OR one year of work experience in a high volume direct public contact position.

 

Preferred Qualifications: • Clinic Experience, basic computer keyboarding skills including typing of 30 - 45 wpm. • Proficiency with MS Office (including Word, Excel, Outlook, and PowerPoint). • Previous work experience with on-line scheduling. • Knowledge of medical insurance, authorizations, and referrals. • Working knowledge and understanding of medical terminology. • Six months previous experience working with busy, multi-line phones. • Must have the ability to complete multiple tasks simultaneously; ability to work in a fast-paced environment; ability to manage competing priorities; ability to meet deadlines and urgent patient and system needs; ability to work independently; exceptional organizational skills; strong innovation skills and ability to apply computer knowledge and administrative experience to prioritize workload and increase efficiency of office procedures and practices. • Proven customer relations experience. • Strong relationship building skills with patients, health plans, providers, staff, management; exceptional customer service skills, both in person and on the phone; exceptional interpersonal skills and ability to resolve conflicts and to problem solve between parties. Patient advocacy skills and ability to evaluate patient concerns for timely resolution; sensitivity to patient needs. • Demonstrated evidence of strong written and verbal communication skills. Ability to manage competing priorities. Ability to meet deadlines and urgent patient and system needs. Ability to work independently; willingness to serve as a positive and professional role model. Must have demonstrated record of reliable attendance, punctuality and proven successful performance in past and present.
